Connecting Google lets Rilin work with your Gmail, Drive, Calendar, Tasks and Meet so contract work does not have to be copied between them by hand. This page explains what Rilin does with each part of your Google Account, what it does on its own once connected, and how to remove its access and your data. The legal terms are in Section 17 of the Privacy Policy.
What connecting Google does
You connect Google from Settings > Integrations > Google Workspace > Connect Google in Rilin. The dialog that opens tells you what Rilin will access, which AI providers process it, what runs automatically and how to turn it off, and who in your organisation can see the results. Then choose Continue with Google. Google shows its own consent screen listing what Rilin is asking for. Nothing is read until you approve it there. Rilin turns these features on for your organisation according to its plan, and only you can use your own connection.
- Gmail: Rilin watches your inbox and sent mail for contract correspondence and sorts it into private suggestions for you. A process can start when a counterparty emails you a draft agreement, once you confirm that email. Rilin then labels the email, files the attachment on the agreement, drafts a reply for you to check, sends it when approved, and files the thread away.
- Drive: import a folder of agreements into your document vault, pick one file with the Google Picker, or let a process read from a folder you choose. You can also save a contract or document to a folder in your Drive when you want a copy there.
- Calendar and Tasks: from a task, check your availability, block time, schedule a meeting with a Meet link, or add the task to Google Tasks. Deadlines can go on your calendar too.
- Meet: attach the participants and transcript of a meeting to the agreement it was about.
- Ask Rilin: the assistant can search your Drive by name, list a folder, look at your calendar, and create an event or upload a document after you confirm.
The permissions on Google’s screen
Google describes each permission in its own words. This is what Rilin uses each one for.
| What Google’s screen says | What Rilin does with it |
|---|---|
| See your primary Google Account email address; see your personal info; associate you with your personal info on Google | Sign you in and show which Google Account is connected. Rilin keeps your email address and name. |
| View your email messages and settings | Watch your inbox and sent mail for contract correspondence (if your organisation has Email work on), sort it into private suggestions for you, let you browse and file emails and attachments on an agreement, and notice when an email that should start a process arrives. |
| Manage drafts and send emails | Write a reply as a draft in your Gmail so you can check it before it goes. |
| Send email on your behalf | Send, reply to or forward an email from your own address when you send it, when a process’s approver approves it, or when a process is set to send automatically to recipients fixed at the start of the run. |
| Read, compose, and send emails from your Gmail account | Organise the emails Rilin handles: mark them read, archive them, move them between Rilin labels, or move them to trash. If your organisation has status labels on, Rilin applies its labels to a process’s threads by itself. |
| See and edit your email labels | Create Rilin’s own labels: Rilin/Intake, Rilin/Awaiting counterparty and Rilin/Done. |
| See, edit, create, or change your email settings and filters in Gmail | Add or remove a mail filter (for example, for a counterparty’s domain) and set or clear an auto-reply, when you or a process ask for it. Rilin never creates a filter that forwards your mail. |
| See and download all your Google Drive files | Import the existing agreements in a Drive folder you choose, let a process read files from a chosen folder and start when files are added there, and let Ask Rilin search your Drive by name. |
| See, edit, create, and delete only the specific Google Drive files you use with this app | Open a single file you pick in the Google Picker, and save a contract or document to a folder in your Drive when you choose to. |
| See and download any calendar you can access using your Google Calendar | Show your calendars and events in Rilin, check when you are free, and keep linked events in step by reading recent changes. |
| View and edit events on all your calendars | Create, update or cancel events for tasks, deadlines, time blocks and meetings with a Google Meet link. |
| Create, edit, organize, and delete all your tasks | Add a Rilin task to your Google Tasks and keep its title, due date and completion in step both ways. Rilin never deletes a Google task. |
| Read information about any of your Google Meet conferences | Attach a meeting’s participants and transcript to the agreement or task it was about, for you to review. No AI reads this. |
What Rilin does on its own once connected
Most actions happen when you ask. These happen automatically. Here is where each one is controlled:
- Mail monitoring: if your organisation has Email work on, Rilin starts watching your inbox and sent mail as soon as you connect, looking back 7 days (you can choose 30 or 90 under “Initial scan”). Its suggestions are private to you unless you share them. To stop it, open Settings > Integrations > Google Workspace, find “Private mail monitoring” under the Gmail row and choose Stop monitoring. Stopping deletes the private suggestions.
- Status labels: if your organisation has them on, Rilin applies Rilin/Intake, Rilin/Awaiting counterparty and Rilin/Done to the threads of your process runs. Rilin turns this on or off for your organisation; ask your Rilin contact to change it.
- Automatic sends: whoever builds a process chooses, for each step that emails, between “Draft for approval” (the default) and “Send within scope”. The second sends without approval, only to recipients fixed when the run started and only up to the number set on the step.
- Calendar and Tasks sync: on by default for a new connection. Rilin reads recent changes in linked calendars and task lists every few minutes and keeps linked items in step. Turn off Keep items updated under the Google Calendar & Tasks row to stop it.
What Rilin never does
- Sell your Google data, or pass it to advertisers, data brokers or resellers.
- Use your Google data for advertising, or to judge creditworthiness or lending.
- Use your Google data to train general AI models. The AI providers Rilin uses for mail, Drive and calendar steps (Microsoft Azure, with Google Gemini as backup) do not train on it either. An email or file you file on an agreement becomes part of that agreement and is then processed like any other contract, which can include OpenAI and Anthropic (see Section 3.2 of the Privacy Policy). Meet transcripts are not sent to any AI provider.
- Let staff read your Google data, unless you ask us to look at something specific, it is needed to investigate a security problem or bug, or the law requires it. When that happens, the staff member works in a logged, time-limited session that your organisation is told about.
- Create a mail filter that forwards your email, or delete a Google task.
Rilin’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Disconnect or remove access
- In Rilin, open Settings > Integrations > Google Workspace and choose Disconnect under “Your Google account”. The older Google Drive connection has its own Disconnect on the same page.
- Or, in your Google Account, open Third-party connections, select Rilin and remove its access.
When you disconnect in Rilin, Rilin stops using your account at once, deletes its stored keys and asks Google to revoke its access shortly after. If the same Google Account is still connected elsewhere in Rilin, that connection keeps working. The older Drive connection only deletes its keys, so remove it in your Google Account as well. If you leave your organisation, your connections are disconnected automatically.
Your data after you disconnect
The private suggestions Rilin made from your mailbox are deleted. Documents you saved into your own Drive are your files and stay there. Items already brought into Rilin stay with your organisation’s records: emails and attachments filed on an agreement, files imported from Drive, and meeting notes attached to a task. They are deleted with the rest of your organisation’s data under the retention rules in Section 8 of the Privacy Policy.
To have them deleted sooner, write to legal@nyayanidhi.in saying which account and data you want removed. Your other rights are set out in Section 11 of the Privacy Policy.
